Moving from legacy systems to SaaS

Cloud Computing and SaaS

Most businesses face a common problem – legacy systems. The installed systems have probably helped the business move to where it is today – So why is this problem?

One of the greatest issues is the advancement of technology and new, more agile business practices that must be employed (like SaaS) to ensure the future and competitiveness of the business.

Fundamentally, most legacy systems are difficult to integrate into other applications so secondary go-between apps need to be utilised to get this working, for example data mining and reporting tools are purchased to extract the reports required. Whilst these tools may provide a good level of data management, they also add significant cost and complexity to a system, as well as a support overhead to manage and check outputs.

Things that must be considered in any systems is the long term benefits against the costs to maintain, customise and deploy. This has to be compared to the benefits and increase in productivity or output the new system will give. Before even this stage, you must consider how a new system will be used, what will be the outcome required and will it scale to suit your business model now and into the future.

This is where a Cloud Computing application like Pulse Business Software comes into its own. With our approach to gentle migration and seamless integration, our software allows you move at your own speed and deploy what is needed, when it is needed.

For example, Service is one of the common problem areas. How do you manage your support requests or schedule your service engineers? Generally we find disparate systems generally fighting against one another, duplicate entry of data and reliance on one person to manage it all. This leads to inefficiency and failure to deliver, costing you time money and possibly your reputation.

Pulse Business Software’s Service module is a simple to implement, cloud based solution which will radically transform the service arm of you business. It can be implemented alongside other current systems solving the problems faced within this department. Once the benefits are realised, other areas of the business can be easily added to create a single powerful cloud computing solution, like Project Management, Sales (CRM) and Accounts.

Process automation and event driven alerting and reporting will simplify your processes, yielding significant and measurable savings to the business.

Whether you chose Cloud Computing, Software as a Service (SaaS) or self hosted as the right solution for you, Pulse Business Software has the answer. To us, it’s more about having software that drives your business and returns cost savings and productivity benefits rather than any one form of technology. However, most organisations are looking to Cloud Computing solutions for the flexibility and agility it offers for ever changing working practices.

As with all systems, the prime consideration has to be “Will this software make more money for my business?”. It is a common question but our consultants can help answer this for you, so why not contact Pulse Business Software now to find out.

What is Windows Azure?

Here is a short video that describes Windows Azure technology in very simple terms. Keeping things simple is often the best way to get your point over and this nice simple drawing based video really makes the point very well – take a look:

So why will this be important moving forward?

Benefits of Cloud based Applications for your IT Help Desk

Pulse Business Software is ideally suited to the IT industry, particularly in the IT Helpdesk arena. Here are a few of the benefits our clients get by using cloud based applications like Pulse.

  • Ease of Use – One of the most common benefits is the simplicity of the software and its ease of use. Using common familiar browsers and not bespoke software makes the system easy to deploy and simple for the operators to use, saving on installation and training. Pulse allows the user to configure their own view to see what is important to them – most liken it to the “iGoogle” type view. As access can be from any browser based device, you can use iPads, smart phones giving it a ubiquitous feel.
  • Out of the Box best practices – Pulse Service module for help desk is pre-configured to work as a best practice application, created over years of experience of creating help desk applications but can easily be re-configured to fit your business practices if you have a current methodology which works for you.
  • Availability – Always on, available from any browser device provides 100% uptime available – perfect for 24×7 operations and “follow the clock” help desk functions.
  • Process Management – configuring standard working practices means you can enforce correct and acceptable working practices across the board.
  • Self Service – Allowing access by your clients to manage and view calls, add new calls and close calls increases efficiency and trust. Built in knowledge base allows many calls to be solved by the client without intervention.
  • Scalability – SaaS models allow for very quick expansion and flexibility, providing a one size fits all solution which you will never outgrow, thus protecting your ongoing investments
  • Constant upgrades – As new capabilities become available, you will get them automatically rolled out to you, meaning no more cumbersome and expensive software upgrades to client and server software – all users will be on the same version instantly.
  • Pay as you go model – You only pay for what us use, so scaling up or down and by each module allows you to budget more effectively. No more buying software licences per machine in case you need it – it’s priced by user by month.
  • Security – Hosting is provided by massive purpose built data centres who’s reputation and business model is all based around security, access prevention and data security – far more than if you held the data yourself. Data is encrypted and secure at all times/
  • Disaster recovery – All data is backed up constantly, so in the event of a disaster, your business can be up and running immediately on any machine with a browser, wherever internet access is provided.

There are more benefits and cost savings associated with each implementation that Pulse Business Software provides, but these are the most common across the board.

Whilst IT clients are a large part of our business, we have many differing applications from low tech to high tech – thus is the flexibility and robustness of the software and cloud based applications produced by Pulse.

Pulse Business Software will meet the needs of your business today and well into the future, providing the flexibility and power you need for the challenging business you run.

The Power of the Cloud

Power Of the Cloud

I recently read an article from Laura Smith ,a journalist who specialises in writing about cloud computing, which I thought I would share.

Laura highlights some very interesting views on how cloud applications and cloud computing is really changing our world and the way we interact as human beings.

Who would have thought that the dissident’s weapon of choice would be Facebook and smart phones. Use of this technology has been very effectively displayed over the last few months – particularly in the Arabic States. I don’t expect Mark Zuckerberg (the creator of Facebook) would ever have imagined that his little friendship application would be used to topple governments, remove dictators and rock countries to their very core. Nor would it ever have been dreamed that it could result in unimaginable the loss of life seen over the last few months.

With over ½ a billion active users of this cloud based application across the world, it is easy to see why this seemingly harmless application, has been manipulated into a tool for evil and misuse by a few extreme groups.

But can this simple application or other mass deployed cloud applications also be used to benefit mankind? As an optimist, I truly believe that it can.

Can cloud applications be used to alert users of impending disasters like earthquakes of floods, be used to distribute aid, food and water to places they are needed when they are needed most? Can they be used to save countless lives? You bet they can.

There is however one thing could hold up this great use of global cloud applications – the law.

There are huge debates going on in just about every country as to the location of the “data” of its citizens and where it should be held. This is a fair comment as nobody wants their data falling in to the wrong hands, or worse still being abused by ruthless extremists or unscrupulous sales campaigns, so it is an important topic to deal with.

Whilst handling of data must be regulated to ensure privacy and prevent mis-use, world leaders need to come together to agree how this issue should be handled – a kind of Global Code of Practice must be agreed and all providers of technological solutions for global deployment must comply with this, as well as being compliant to all existing data security standards. Something like the creation of a Global Data Council which could police and monitor all activities by providers could be one answer.

With cloud computing moving at such a rapid pace, Gartner Group data estimates that cloud based services will triple in the next 3 years, it is clear that this issue will not go away and so regulation of some description is required urgently. This must be debated and delivered sooner rather than later.

All this said, Cloud applications are changing lives, the way we work, communicate and function, some ways for the better like mobile working, flexible lifestyles and availability of information, and others for the worse like organising riots and evil acts.

Like them or loathe them, cloud based apps are here to stay. We all use them every day in some form or other. I am glad to say, most cloud apps (like Pulse Business Software) are used to improve lives, save costs and the environment.

So why not take a step towards using cloud apps to benefit your life, your business and your workforce – contact Pulse Business Software today to see how deploying a cloud based business application from Pulse can benefit you.

Do you struggle getting reports out of your systems?

Business Reports

One of the major challenges in business today is making sure you have your finger on the pulse (forgive the pun!). If you are a CEO or MD, you want a holistic view of the business, making sure you see all the components working together to create a seamless business. If you run a department, you want to see your piece of the action and make sure you are performing at the optimum levels to deliver or create your service or product. If you are an engineer or sales person, you need to see your next call, or your sales pipeline and orders – the list is endless but each person wants something slightly different.

Whatever your role, you need up to the minute, accurate information.

One of the biggest challenges we see is how different systems produce reports in the format required on time and with accuracy. Experience shows us that this doesn’t happen. Most reports are compiled from various sources, then input manually into a spreadsheet etc before presenting – giving accuracy and time-line issues. There are of course data mining products available which can access information from various sources, compile and present information as required, however these are very expensive to buy, set up and run, with only a few people trained to work it – and introduces yet another cost to the business in terms of servers, back up and support.

So what is the answer?

When you implement a web based business system from Pulse Business Software, report software is included regardless of the module or modules you implement. Our report software seamlessly links to all modules allowing you to merge data from each module to create a totally accurate report on what you want to see. As a Cloud based solution, Pulse business software is available on any device with a browser, so you can tap into your reports whenever you like, where ever you are.

Reports can also be delivered in several ways, for instance you can set triggers to alert you if certain rules and breached – for example if a service call is close to going outside contract terms, or an order is placed above a certain value. You can also schedule report to be delivered at the end of each day to show calls logged or sales revenues – the list can go on.

Each report can be tailored to suit each person – a detailed service report to the service manager, but a summary report to the Service Director or a commission report to each sales person and a revenue and commission by sales person to the Sales Director and Managing Director – what ever you want, when you want it and how you want it.

So in a world where information is power and where you need to make informed decisions, you must have the information you need at the press of a button and it must be totally reliable and accurate – Pulse Business Software has the answer. Contact us now to see how  Pulse Business software can put you in control.

Pilot Scheme for cloud based software

The majority of clients we visit are just looking at options on how to solve a specific problem within their business. Very rarely do you get a call saying that they want to rip out all the systems and start from scratch (unfortunately!)

The problem they face is usually caused by a system not performing as it should, or has been out-grown, or has reached the end of it’s life and cannot be upgraded easily. The other areas of interest is from companies who have heard about cloud computing systems and want to dip their toe in the water to see if this would suit their business moving forward more strategically.

Which ever way it is, normally it is the first time they have come across a cloud based business solution. Pretty much everybody is used to using things like facebook, twitter, google apps and gmail, but somehow they do not see these as cloud  based solutions – its only when you explain that using something like Pulse Business Software for business applications is almost exactly the same concepts that they really understand.

One of the most common problems that we get asked to look at is service delivery software and help desk software or support software problems. Usually, the systems they are using are “off the shelf”  specialised point products, that do the job, but invariably are a stand alone systems with there own dedicated (often very expensive) servers and back up etc. To actually get these business systems to integrate into other systems is pretty much impossible or too expensive to consider.

One of the main advantages of cloud based software solutions is that you do not have to spend a fortune in deploying them, they are agile and quick to get up and running and need no additional hardware investments. Literally, its a turn on turn off solution (apart from some configuration of course). This makes them ideal to do a pilot or trial scheme in certain problem areas of the business, see the impact very quickly and the benefits of deploying such a strategy across the business. The Return on investment curve is very steep as it costs very little to get running in comparison to traditional server based systems.

Access to the Pulse business system is via any browser based device, like a laptop, desktop, mobile phone or tablet like iPad or Samsung, meaning no expensive client software agents to deploy and no more equipment required as you utilise what you have already.

Project manager software, Service and help desk software and Sales or CRM software are the most common pilot schemes deployed, however Pulse Business Software’s Financial solution is a very robust, feature rich and simple to deploy financial software solution. It contains all the standard functions you would expect, but a few nice touches like contract management, automatic invoicing and emailing, recurring billings, the ability to copy previous invoices so you don’t have to start from scratch, very powerful VAT Return routines and quick and simple Bank Reconciliation make the Pulse Financial package something to seriously consider.

So if you want to dip your toes into cloud computing and cloud based business solutions, why not contact Pulse Business Software now for a discussion and advice on how it will improve your business.

What happens if….

Each and every business must have a plan in place for any disaster that would affect the running or operation of the business in the event of a disaster happening. Most business will say they have a policy and procedure – but is it just a piece of paper?

Do you ever test the procedures to see if they work? Do you take hourly backups of your data, keep duplicate software and licensing information in a separate location, or have a mirrored server somewhere safe in a data centre? Chances are you do have a pretty good policy, but will it stand up to it if the worst happens?

Unfortunately, you will never know until something happens. This could be something simple like a fire or flood in the office trashing the servers and office or something more extreme like a natural disaster or act of terrorism which renders your building and all in them useless.

So how do you prepare for such events? The answer is relatively simple really. You use the cloud to “hold” your business applications and data. The Service provider will have made countless plans and contingencies and tested them to the limits, after all this is there business so it must work each and every time.

One of the key advantages of Cloud based software is that you use simple “off the shelf” devices to access your applications. Things like email, document storage and the like are nothing new, however the tide is turning for server / office based application where you own the hardware and software on a client server or peer to peer scenarios. These systems have massive limitations in the event of a disaster – if the building burns down, its all gone – the only solution is to have a “dark site” ready to move in, but the costs are massive – typically only used by Stock Exchange dealers etc – but then you are relying on the data being available.

So using a cloud based business solution is the logical answer and is extremely cost effective in that regard, but it also means that you can access the full suit of your business applications from anywhere, with any machine with an internet connection. Workers can then work from home or a temporary office environment without disrupting the business operation.

Of course this is not just for disasters, what about bad weather and pandemics? If your traditional office worker cannot travel or risks getting infected by travelling into the office, then they can work effectively remotely.

So if the worst happens, or you just need to be flexible and dynamic (and save a load of costs) why not take a look at how Cloud Based Business Systems and business software can revolutionise your business and remove constraints – contact Pulse Business Software now for a free consultation.

Driving your business through Automation and Business Intelligence

All businesses strive to make improvements in performance, reduce costs and increase profits, but most still insist on using archaic and ineffective systems which hold them back from the goals they seek.

If your systems do not work for you, it is time to re-evaluate their role within your organisation. If you cannot automate repetitive tasks, alert you to pre-defined situations and provide you with all the information you need to see exactly how your operation is working, then you are missing out on vast opportunities for making your business more efficient.

Most businesses believe they are working very efficiently, but in reality they are being forced to work in ways the system tells them to, rather than what the business needs. This is especially true of smaller businesses that see “off the shelf” software as the only possible solution, rather than looking at more progressive options.

In our experience, companies follow fairly traditional routes and perceive that costs or customisations to make the systems work the way they need to work will be prohibitive. They accept that the systems they buy will make do and so change the business to work around these systems. This view is often very costly as the business grows both in terms of inefficiency as well as having to re-buy a new system later in life.

One other major issue faced is having the right information about the business to make informed decisions. We have all been there. Just picture the normal scene just before a Board Meeting, where monthly reports need to be “compiled” and presented about performance, usually built from inaccurate and outdated information in spreadsheets. This method proves very little value and is normally out of date, so decisions made will not truly reflect the position.

Systems should be capable of producing real time reports, delivered in a format that the business owner or manager needs automatically, for instance daily sales numbers. Furthermore, the systems should be able to flag situations based on a set of circumstances or triggers, all pre-defined to present only what is required, when the event happens.

So let’s look at some practical examples of business automation, which if employed will have a radical impact on efficiency. Let’s start with sales.

One of the biggest headaches for a sales manager is performance monitoring. So the end goal is a sales number that each sales person must achieve in order to pay for themselves and add value to the business. Let’s picture the monthly “forecast” meeting. This is painful for all involved and many sales people are very skilled in making the forecast seem significantly better than it actually is. As a sales manager, you need to take the numbers provided and present them to the Board, again with your spin on them.

So automating this process will remove the fudge factor. Reporting on all quotes generated, all opportunities in pre-defined sales stages and applying a “factor” based on these numbers allow a more realistic figure to be produced at any time, removing the fudge factor and highlighting performance issues very quickly. This information can be presented to all concerned, the sales person, the Sales manager and the Sales Director can all have a specific report tailored to show what them actually need to see. The overall saving is time and increased accuracy in time and energy, plus the increased focus on delivering the numbers will pay for a new system very quickly.

What about the accounts department? This is a common place to automate routines. What about automated contract invoicing for instance. Setting all contracts up so billing and sending invoices automatically will free up staff to do other more demanding tasks, as well as never missing a billing opportunity. Also, using service routines to generate invoices is a common practice. When an engineer attends site, uses parts on the job and logs the time on site, once the job is closed via the system, an invoice is produced and sent to the client without further interaction by a 3rd party invoice clerk.

With Pulse Business Software, just about any routine can be automated and just about any report can be produced. The system is infinitely customisable and works how you want it to work, rather than having to follow a set of predefined rules which do not reflect your business processes.

I know what you are thinking – sounds expensive! Well really it is not.  Pulse Business Software scales very easily from a few people to a giant corporate, but does not carry a huge price tag. Our approach is to make everything affordable based on the number of modules you need, and the number of users you have, thus giving you a monthly charge you can easily afford. This makes it ideal for start up companies, companies in growth mode and companies with a mobile workforce.

So rather than just struggle on with the same old software, contact Pulse Business Software now to see what savings you can make and how you can improve your bottom line and your business intelligence.

Have you had enough of running your projects on a spreadsheet?

Typical Project view screenshot

Typical Project view screen shot

One thing we see all the time is companies who still struggle with project management and managing multiple projects. We see all manner of issues from project planning to resource management. We do see some absolutely ingenious ways in which people actually manage these projects, from white boards to spreadsheets and bit of sticky notes everywhere, however they all rely on one person. So what happens if this person goes sick, or leaves?

Basically the deck of cards crashes to the ground, your projects become a problem and you risk your very business in not delivering what you need when you need to.

It does not need to be like this. Yes there are software packages out there at the moment like MS Project etc, but they are expensive to licence and rely on being machine based ie on a laptop, without collaboration or real time activity – they are nothing more than a spreadsheet in many ways. There are also some “free” web-based project management tools and they vary from adequate to rubbish.

Then there is project manager software from Pulse Business Software. Why struggle with lots of complex software, when you can use this simple solution.

Projects allows you to set up projects in the normal long winded way if you want to, but why not make repetitive tasks into a sub project so with one click you can add a whole bunch of tasks to your project – this also means you wont miss any stages out as well. As you add and change the project tasks, the dynamic time-line moves in and out to show the exact end time based on estimated and actual task completions, making project review meeting easy.

Dependencies, successors and preprocessors are a standard feature for each task or sub-project as well as decision points and timed tasks, making this a very powerful and flexible solution.

After you have created your project, allocation the tasks is very simple. Basically, you select a team or individual to perform the task and they get notified of forthcoming tasks and due tasks – no excuse for not knowing. If they are on holiday or ill, a simple drag and drop scheduling screen allows you to just re-allocate the task.

Is that not easier? Let Pulse manage the projects whilst you just manage the exceptions. This allows many complex projects to be managed by one person with ease, but more importantly, allows the manager to see exactly where the project is, when a delay occurs (out unique fire-bar indicator shows this) and puts you in control.

For a no obligation discussion and demonstration of how Pulse Projects could change the way you work, contact Pulse Business Software now. Say goodbye to those tiresome spreadsheets for ever!
