Project Manager Software

Pulse Business Software’s project manager software is a powerful work-flow and task management system designed for multi-step processes where many members of a team have to work together to achieve an objective. The back-bone of the Project management software is task succession and dependency – task A must be complete before task B can be started – but it goes much further by enabling decision points, where the business process can follow various paths.

What this means is that the Pulse Project manager software is more than a project planning system, and is best described as a Project Implementation System – it’s all about getting the job done on time and to budget.

Take a look at the videos to show an overview of this module.

The most useful thing about Pulse Projects is that it shows project progress at any time. The simple at a glance views allow you see whether work is late or on-time, and makes it obvious why a project is lagging. Often, a task that is waiting for customer input is causing a project to be delayed. Pulse enables you to show the impact these delays have on the project milestone dates.

Common work-flows are represented using template projects. A template project is a definition of how the work is achieved, in terms of its work-flow, and which type of resource is responsible for each task. For example, the customer account manager would do certain tasks, a technician some, and a finance team member others.

When a Template Project is launched, real people are substituted into each role (either chosen by the project manager, or based on their skills and customer relationship), and the project comes to life. Each task is assigned to a person, who receives a detailed ‘service request’, or task description.

It gives them all the information they need on the task at hand, as well as the overall project. They receive a notification by e-mail or text message, and if they have done the task, they can tell the system that it is done with one click – no need to even log into the project manager software. This means that team members spend less time updating the system, and more time doing the job. In the background, Pulse Projects launches successive tasks, and notifies the relevant people. In this way the project management software takes the hand-over drudgery out of project or process management, and allows project managers to focus on exceptions.

Change Control
You can also change the project as it advances in its lifecycle, after all things never stay the same. If a customer asks for an addition you can insert the ‘change control’ process, which has a defined set of tasks that the project goes through. Once the Change has been accepted, the new tasks can be issued and the timelines altered automatically. This Change Control process follows ITIL compliancy.

Within the project manager software you can create new projects from a set of pre-defined ‘sub-projects’. This is a very convenient way of tailoring a customer solution from pre-built processes. A law-firm, for example, might have pre-defined processes for various offerings, such as ‘international trade-mark registration’, which can be added to any project as necessary. That also means that when an area specialist tweaks a process, those tweaks are automatically included in all the projects where the process is used. This enables the company to stay at the cutting edge. It also means that a project manager doesn’t need to know how the details of each sub-process works – a useful delegation. This is also ideal for following Quality Control Processes as the sub project will follow the recognised and agreed delivery path.

Pulse Project manager software enables you to see the workload on each of your resources. Using the Visual Scheduler, you can re-assign work on the fly, and in this way manage work-load, and also prevent bottle-necks. For instance, say one of the engineers scheduled for a job calls in sick, you can simply drag and drop a different engineer onto his tasks via the Resource Scheduler and the project continues, making  sure the tasks are completed without affecting delivery dates, giving greater control and customer satisfaction.

The project management software is closely integrated with the helpdesk Module. The reason an active task is described as a service request is because the Project Module is opening a service request in the Service Module, as if a customer had requested the job. This means that team members who are already using the Service Module receive their project tasks in the same way as a normal service request. Also, a service request can launch a project, if the customer’s requirement involves a complex process.

The Pulse Sales Module will launch pre-defined projects when a new deal is done or an order is placed, ensuring the seamless transition between prospect and customer.

Pulse Projects talks to Pulse Financial business accounting software in that it can automatically create customer invoices when certain project billing stages are reached. It can also be set to wait for customer payment before proceeding with other tasks. In Fact, the Projects Module puts you firmly in control.
